The Recruitment Forms
Once you've received approval to proceed with the position, there are several
standard forms from Human Resources (HR) which need to be completed. When
you arrive at HR, you may ask the receptionist for a hiring package. These
forms are a necessary evil to ensure that we are following good hiring practices,
adhering to contractual obligations or provisions, observing affirmative
action guidelines and policies, and complying with requirements. Taking
the time to accurately complete all forms is one more way to avoid trouble
later in the process. You will find a complete set of sample forms with
this package.
The Forms include:
- Position Release and Recruitment Form This form provides an overview
of the components of the position. These forms should be completed in
consultation with HR to determine any appointment limitations on rank,
classification and/or salary and will outline the recruitment strategy
and advertising procedures to be followed. Recruitment efforts for state
and permanent trust funded positions may not begin until authorization
has been given by either the Deputy Chancellor or the Provost.
- Position Description Form - adapted for all positions This form provides
a general summary of a position, examples of duties, minimum qualifications
for the position and supervision received/exercised. The job description
enables HR to ensure that rank and salary are appropriate to duties
to be performed and will provide needed information for adjusting advertising
text, when necessary. It also helps to establish a clear set of shared
expectations for performance.
Although job descriptions for classified staff are standardized by the
Commonwealth's Department of Personnel Administration (DPA), the position
description form can be used as a model for developing a working description
of the position so that classified staff and supervisors are clear on
day-to-day performance expectations.
- Skills Sheet (classified positions only) This form assists the HR
Recruitment Office in assembling an applicant pool for your consideration.
External applicants are tested in advance to determine how their skills
match with the needs of the position. If a department requests, arrangements
can be made to test internal candidates under consideration for a position.
