STEP 2: Starting the Process of Filling a Need


At this point, the Hiring Unit should have obtained approval from the Dean/Director and Vice Chancellor to fill the vacancy or to create the new position. You can then work with HR to classify the position, develop salary parameters, etc. Once you have completed this step with HR, you must obtain signatures within your "chain of command" and obtain approval to release the position from either the Deputy Chancellor or the Provost. The goal here is to ensure that hiring/recruitment plans are complementary with budgetary concerns as well as staffing priorities. Be certain, at this step, to gain a complete understanding of the level of input and decision making your "chain of command" expects to have throughout the process. Once your position has been released, you are clear to proceed. HR will work directly with you while coordinating with Affirmative Action (AA), as needed, on the development of the position and recruitment strategy.

Completing the Forms
To ensure a timely process, all of the forms must be filled out completely and accurately. The necessary forms for the hiring process are:

  1. Position Release and Recruitment Form
  2. Position Description Form - all professional staff positions (this form may also be used as a guide in developing job descriptions which will help clarify performance expectations for DPA/standardized classified positions)
  3. Skills Sheet - classified staff positions only (Note: It is especially important to list all the necessary applicable skills required for the position on the Skills Sheet. For classified staff, unless requested by the recruiting unit, HR will conduct centralized skills testing based upon skills as noted on the Skills Sheet. In general, computer tests include word processing and basic spreadsheet ability.)
