Frequently Asked Questions about UMass Boston Email

Following are some frequently asked questions about using the UMass Boston Office 365 service. If you are a UMass Boston student, faculty member, or staff member and do not have an email address, contact the IT Service Desk or fill out an email account request form (for faculty, staff, and departmental email accounts). 

1. What services are included with my UMass Boston email account?

In addition to 50 GB of email storage, a shareable calendar, and contacts, you get access to 1 TB (1.024 GB) of online storage and collaboration with OneDrive and Office apps online, OneDrive apps for Mac, Windows, and iOS, the Office suite for Mac and Windows, Office apps for iPad (available at the Apple app store), and Skype for Business (Lync). In addition, your UMass Boston email username and password give you access to WISER, Blackboard, Atomic Learning, WiFi on campus (including eduroam), printing (students only),  the UMass Boston blog and wiki platforms, Xythos file sharing (faculty and staff only), and HR Direct (current employees only). 

2. How do I log on to web mail?

You can find the login link to webmail by clicking the "Email" link at the top of UMass Boston web pages, or by going directly to webmail.umb.edu in your web browser.

If you need to look up your email address, you can use the Secure Access ID Lookup page.

If you need help, call (617.287.5220) or visit the IT Service Desk. We are on the third floor of the Healey Library Monday through Friday from 8 a.m. to 6 p.m. except holidays or days the Healey Library is closed. (Summer hours are 8 to 5.)

3. How do I change my password?

Go to mypassword.umb.edu and click Change My Password. Log in with your username (do not include the @umb.edu!) and password.

4. What is the new “Clutter" feature for? How do I turn it off?

Clutter is similar to Junk (spam) in that it filters and prioritizes items in your inbox. To learn more, including how to turn it off, see Using Clutter to prioritize your inbox.

5. How do I set up email on my phone?

See one of the following:

Set up a mobile device using Office 365
Set up email on an iPhone or iPad
Set up mail on an Android phone or tablet

6. How do I set up the email program on my computer?

See one of the following:

Set up Microsoft Outlook 2013 or 2010
Set up email in Mac OS X Mail
Set up email in Outlook for Mac
Set up email in Mozilla Thunderbird 8.0
Use POP or IMAP to connect to Office 365

Note: We recommend using Exchange mode in Outlook or Apple Mail because the setup is much easier: sending and receiving mail, contacts, and calendar setup are all done in one step.

7. What's the difference between POP, IMAP, and Exchange?

Exchange is simpler to set up and includes setting up sending and receiving email in one step, plus adds access to a calendar and contacts stored online. It is common in corporate environments.

IMAP is similar so Exchange, but only includes receiving mail. Sending mail (SMTP), using online calendars, etc., would be a separate setup.

POP is similar to IMAP except that in general, POP deletes mail from the server after downloading the mail to your computer. It is mainly used on personal accounts with small online quotas. Downloading the mail from the server and then deleting it ensures you are always under your quota, but means the mail exists only on your computer. You would not have access to it elsewhere and would risk losing it unless you back it up.

8. How do I avoid scams sent to my email?

9. How much space to I have on the server? What other limits are there? Can UMass Boston change these?

Here are the current limits for Office 365 email. These are set by Microsoft and we cannot change any of them.

  • Mail storage: 50 gigabytes (more than 50,000 megabytes!)
  • OneDrive storage: 1 TB (1,024 gigabytes, or one terabyte)
  • Maximum size of attachment sent/receive: 25 megabytes
  • Maximum number of recipients per message: 500
  • Maximum number of recipients per day: 10,000 (e.g. 20 messages with 500 recipients each)

These are very high limits, but in a few rare cases, you may encounter one of them, especially if you frequently send emails to large numbers of recipients. If you reach 10,000 recipients in a day, your email will be locked for 24 hours by Microsoft and we will not be able to unlock it!

If you send large numbers of emails, you can request a distribution list, which allows you to maintain a list of UMass Boston (@umb.edu) addresses that can all be sent to using a single email address. Sending an email to the distribution list causes it to be sent to everyone you have added to that list. To request a distribution list, use our Distribution List Request Form (PDF format).

If you need more functionality than a distribution list, such as the ability to include a non-UMass Boston email address, you can request a Lyris list manager list. This is a little more complicated to maintain, but it is capable of high volume communications and has many features not available with a distribution list, similar to those offered by Constant Contact or MailChimp. To request a Lyris mailing list, use our Lyris List Manager Request Form (PDF format).

If you need more information, please contact the IT Service Desk regarding alternative methods of sharing large files (Xythos) or sending large numbers of email messages.

10. Can I forward my email to another address?

Yes, but don't forget your username and password, as you will continue to need those for Wiser, Blackboard, etc.

Please test to make sure the forward is working, as Microsoft does not verify the account you entered!

11. I am graduating. Can I keep my account?

Graduates keep their email accounts for two years so they can log in to WISER to check GPA, request transcripts, etc., after which the account is deleted. (But you can still request a transcript by mail or fax.)

If you want to keep your email address, you can request an Alumni Forward. This allows you to keep your UMass Boston email address so that mail sent to that address can be forwarded to another address you own. Be sure to back up any mail you want to keep before requesting this!  This only gives you the address, not the inbox or any other service provided by UMass Boston.

12. I am retiring. Can I keep my account?

Yes. just contact the IT Service Desk before your last day so we can arrange for this before your account is deleted. You will still lose access to some UMass Boston services for active employees, such as Xythos, but keep your email address, inbox, mail, etc.

13. Can I share my calendar or have someone else manage it for me?

14. Where can I learn more about using the features of Office 365 and Microsoft Office?
