Travel Registry FAQs
What is Terra Dotta?
Terra Dotta is the University of Massachusetts Travel Registry system that facilitates the rapid location and communication of those traveling on behalf of the university in the event of an emergency.
Why should I register?
There are a number of reasons to register:
1) It is a system requirement from the UMass President's Office.
2) Your Terra Dotta registration is required for travel reimbursement.
3) If you travel on university business, you may qualify for the university's travel insurance. You can receive assistance for anything from a stolen wallet to a medical emergency while abroad.
How soon before my trip do I need to register?
You are required to register your travel in Terra Dotta 21 days prior to departure, or as soon as travel is known.
How do I know which registration to complete?

Who needs to register?
Faculty, staff, and/or students with UMass Boston employee IDs traveling on university business, traveling overnight domestic, or traveling internationally need to register.
What if I am not staying overnight domestic?
You do not need to register day trips.
What if I am traveling to a U.S. territory (e.g. Puerto Rico)?
Please register your travel to a U.S. protectorate or territory as International travel.
If an employee is traveling overnight domestic, but not requesting reimbursement, do they still need to register?
Yes, if they are traveling on university business.
I am a study abroad student. Do I need to register?
Yes. If you are participating in a study abroad program through the UMass Boston Office of Global Programs, please register by selecting "Student Study Abroad Registration" on the Terra Dotta site.
What if I am traveling overnight domestic, and then international?
Please register your travel as International. Your first stop (location and dates) will show the domestic travel, and the second stop (location and dates) will show the international travel.
Do student athletes or students traveling with a faculty/staff member need to register in Terra Dotta?
Students and student athletes only need to register their own travel if they have a UMass Boston employee ID number.
For Domestic travel, the coach or faculty/staff member leading the group must fill out the Student Group Roster for any students in their group who do not have an employee ID number.
For International travel, the faculty/staff member leading the group must register the International Group travel. All students must complete a Conditions of Agreement form. These must be included in the International Group registration.

Using the Terra Dotta System
I cannot find my department in the department listing.
All UMass Boston travel registrations will have a department number of "Boston - All Departments."
I cannot find the city for which I am registering travel. What do I do?
How do I access my Safety Plan Questionnaire? How do I access a registration I have already started and want to edit?
1. Log in to the Terra Dotta system using your UMass Boston credentials. There is a “Log In/Register” link in the top right corner of the screen.
2. Once you log in, you should see a section titled “Your Travel Registrations.” Under this heading, click the link for the registration you want to access.
3. Under the “Registration Questionnaire” heading (the section on the right hand side), you should see a link to your Safety Plan.
4. To edit the Safety Plan, click the pencil icon. DO NOT just click on the link for the Safety Plan. You will not be able to edit it unless you click the pencil icon.
5. Once you update your information, make sure to click “Submit.”
How do I update my profile in Terra Dotta?
What if I am no longer going on a trip that I already registered for?
If you registered as a Domestic Individual, please email TravelRegistry@umb.edu.
If you registered International Individual, International Group, or Domestic Group, follow these steps to "Withdraw" your registration:
1. Log in to Terra Dotta with your UMass Boston credentials. There is a “Log In/Register” link in the top right corner of the screen.
2. Once you log in, you should see a section on the left titled “Your Travel Registrations.” Under this heading, click the "Withdraw" button related to the trip you are no longer going on. This will withdraw your registration.
When I try to register, I get a message saying I am a non-UMass applicant, even though I am a UMass Boston student, faculty, or staff member. What do I do?
Please send an email to TravelRegistry@umb.edu with the heading "Non-UMass Applicant Login Issue" and describe the problem you are running in to.
Travel Reimbursement
I have registered my travel. Now what do I do?
Enjoy your trip! Once you return, your Terra Dotta ID number must be added to your Travel Reimbursement Forms from the Controller's Office.
1. Enter the 5 or 6-digit Terra Dotta Itinerary ID in the Comment Box on the Travel Authorization CON-03. Do not add prefixes. Correct example: 12345. Incorrect example: #12345 or ID12345.
2. Please screenshot or print the "My Registrations" page and include it with your reimbursement paperwork.
How do I find my Terra Dotta ID number?
Will I get an email with my Terra Dotta ID number?
No. You must look up the registration ID after registering your travel in Terra Dotta.
